1. Definition of Special Order Items

Special Order items are products that are not part of our regular warehouse stock or standard backorder pipeline. These items are purchased by us directly from a vendor’s website—most commonly Games Workshop—on your behalf after you place your order. Special Order items are clearly marked with a “Special Order” badge and may also display a “Reserve Now” label.


2. Order Commitment

By placing a Special Order, you acknowledge and agree that:

  • Your order is locked in once your payment is processed.

  • Your order will be fulfilled even if the item sells out at the vendor after your purchase.

  • If the item is sold out at the vendor at the time of our procurement attempt, it will enter a soft preorder status in our system and ship to you once it becomes available again.


3. Procurement Process

  • We check stock on all Special Order items at least three times daily and maintain stock alerts for almost all products marked as sold out at the vendor.

  • Our procurement process has been in place since 2023 and has a proven track record of securing hard-to-find items for our customers.


4. Fulfillment Timeline

  • If the item is in stock at the vendor when we place the order, it typically arrives to our warehouse within 10–14 business days.

  • Once received, your order will be processed and shipped to you using the shipping method you selected at checkout.

  • Shipping times may vary based on carrier performance and other external factors beyond our control.


5. Availability and Delays

  • All Special Orders are subject to availability at the vendor level. Fulfillment is not guaranteed in cases of vendor discontinuation, long-term out-of-stock status, or other unforeseen supply chain disruptions.

  • In the event of significant delays (30 business days) we may contact you with updates. However, your order will remain active in our system unless you explicitly request cancellation for an eligible item. Cancellations are permitted after 30 business days have passed with non-fulfillment. 


6. Cancellation and Refunds

  • Special Orders are not eligible for cancellation once placed, except at our sole discretion and only in circumstances where procurement is no longer feasible (e.g., item has been permanently discontinued).

  • Any exceptions will be handled on a case-by-case basis. If a refund is issued, it will be processed to your original payment method or store credit, whichever you prefer. 


7. Customer Responsibility

  • If you prefer not to wait for an item to come back in stock, we strongly suggest checking the vendor’s webstore directly before placing a Special Order with us.

  • By placing a Special Order, you accept any additional wait time that may occur due to the vendor’s availability.


8. Changes to Terms

We reserve the right to update or modify these Special Order Terms of Service at any time, without prior notice. Any changes will be effective immediately upon posting to our website.
