The Vault - Trade In Program Terms of ServiceUpdated 2 days ago

Please read these Terms of Use carefully before submitting a quote request to The Vault, Wargame Portal’s official secondhand marketplace. By submitting a quote request, you agree to all Terms and Conditions listed below. These Terms govern the process for customers (“you”) offering tabletop models for purchase by Wargame Portal LLC (“Wargame Portal,” “we,” or “us”).


Effective Date

These Terms and Conditions are effective December 22, 2025.


Jurisdiction

These Terms shall be governed and interpreted in accordance with the laws of the State of Alabama, United States, without regard to conflict-of-law principles.


Privacy & Policy Updates

We reserve the right to update or modify these Terms at any time without prior notice. Continued use of The Vault or submission of Secondhand Quotes constitutes acceptance of the most current Terms. Additional policies — including shipping, returns, and store credit terms — may also apply.

Disclaimer & Limitation of Liability

All product descriptions, pricing, and transactions through The Vault are provided on an “As Is” basis. We make no warranties, express or implied, regarding the accuracy of listings, the condition of products, or site availability.

To the fullest extent permitted by law, Wargame Portal is not liable for indirect, incidental, punitive, special, or consequential damages arising from use of this service. Our total liability shall not exceed the amount paid to you for the models in the associated transaction.


Service Rights

Wargame Portal reserves the right to:

  • Refuse service to any individual or entity at any time

  • Remove or reject any submitted content, photos, or listings that violate these Terms

  • Decline quotes or cancel transactions at our discretion


Quotes & Model Representation

Customers are responsible for accurately representing all models submitted for quote.

Quotes are based on:

  • The model list submitted

  • Photos provided (required for quote accuracy)

  • The represented condition, assembly, painting, and conversions

Quotes:

  • Are valid for 30 days from issuance

  • Must be accepted before expiration

  • Require shipment of models within 10 days of acceptance, including a tracking number

Failure to ship within the required window may result in quote cancellation.


Model Ownership & Eligibility

By submitting models to The Vault, you confirm that:

  • You are the legal owner of the models

  • You have the right to sell them

Eligibility Restrictions

We only accept models that are:

  • Currently in production

  • Actively stocked by Wargame Portal

We do NOT accept

  • 3D Printed Proxies

  • Counterfeit or recast models

  • Models with magnetic upgrade kits installed, or similar modifications.

Wargame Portal reserves the right to reject any models that do not meet eligibility standards and any at our own discretion.


Shipping Requirements

Customers are responsible for all shipping costs and must ship models at their own expense for inspection prior to payment.

Ship models to:

Wargame Portal — The Vault
(Address provided upon quote approval)

Shipments must include the Packing Slip issued via email after quote approval.


Condition, Damage & Quote Adjustments

To avoid payout reductions or rejection:

  • Models must arrive undamaged

  • Packaging must be secure and protective

  • Loose or poorly packed models may result in quote reduction or rejection

Wargame Portal is not responsible for:

  • Shipping damage

  • Lost shipments

  • Carrier claims

  • Insurance reimbursement

If models arrive damaged, incomplete, misrepresented, or in different condition than quoted, we reserve the right to modify the payout, including but not limited to:

  • Missing models

  • Broken models

  • Additional unexpected models

  • Paint or assembly condition differing from the quote

  • Conversion or modification differences


Packaging Guidelines

To help preserve value and prevent damage:

  • Separate miniatures by unit or type for easy identification

  • Wrap models individually using soft protective material (bubble wrap, paper towels, packing paper, etc.)

  • Ensure painted models do not touch each other

  • Pad interior box walls where possible

  • Fill all empty space with soft filler material (paper, foam peanuts, etc.)

  • Seal the box securely and shake-test — no internal movement should occur

Improper packaging may reduce payout or result in rejection.


Payments & Store Credit

Payment is issued after models are received and inspected.

Payment Methods

The Vault issues payment as:

  • Store Credit only issues to customer account.

Cash payments are not offered.

Store Credit:

  • Is delivered via direct injection to customer account.

  • Can be redeemed on WargamePortal.com

  • Has no cash value

  • Is non-transferable

  • Cannot be revoked once issued, does not expire.


Final Payment Adjustments

If the final assessed payout differs by more than ±10% from the quoted amount, Wargame Portal will contact the customer for approval before issuing credit.

Once Store Credit is issued:

  • Quotes cannot be revoked

  • Payments cannot be reversed

  • Transactions are considered final

Wargame Portal is not responsible for lost, misdirected, or abandoned Store Credit. Credit is applied to the customer account provided during the quote process.


Right to Refuse or Ban

Submitting counterfeit items, intentionally misrepresenting model condition, or abusing the quote system may result in:

  • Quote cancellation

  • Refusal of service

  • Account suspension or permanent ban
